Information we may receive

When an adult contacts us or sends a booking request, we may receive a name, email address, phone number, event date and time, event location or address, event type, guest estimate, requested appearance, photography interest, booking history, and other details the adult chooses to provide.

After a visit is confirmed, an authorized parent, guardian, or organizer may send limited details to help Santa personalize the visit. These may include a child’s first name or nickname, pronunciation, age or grade, interests, accomplishments, Christmas wishes, and helpful comfort or accessibility notes.

How the website forms work

The booking-request and customer-review forms send the information directly to a private database available only through Santa’s Office. A review is never displayed publicly until it is approved, and customer email addresses are never displayed publicly.

The confirmed-visit details form prepares a message in your own email application. Information from that form is transmitted only after you review the prepared message and press Send in your email application.

Our website hosting and email providers may process basic technical information needed to operate, secure, and deliver their services.

Privacy-friendly visitor trends

The website uses a random browser identifier to estimate visitor and page-view totals. The private Santa’s Office can see these totals, most visited pages, daily trends, broad city or regional location, device category, referral source such as Google or Facebook, and event-type selections made in the booking form.

The visitor counter does not collect a visitor’s name, email address, phone number, precise location, or IP address. Location is approximate, service interests are anonymous, repeat visits to the same page within about 30 minutes count once, and Browser Do Not Track and Global Privacy Control settings are respected.

The counter cannot be used to contact a visitor. Santa may personally follow up only when an adult voluntarily sends a request or gives permission to receive seasonal emails.

Phone numbers are used for booking and service-related communication. We do not use phone numbers for promotional calls or texts without separate permission.

Children’s information

This website is intended for adults arranging Santa appearances. Children should not submit information themselves. A parent, guardian, or authorized organizer must provide permission before sending details about a child.

Please use first names or nicknames only. Do not send school names, home addresses, full birth dates, medical records, diagnoses, payment-card information, or other unnecessary private information.

When information may be shared

We do not sell personal information and do not use it for targeted advertising. We may share only the minimum information reasonably needed with Santa, Mrs. Claus, a requested photographer, an event contact, or service providers helping us deliver the requested appearance. We may also disclose information when required by law or necessary to protect safety and rights.

How long information is kept

Booking requests and reviews may remain in the private Santa’s Office database while they are being handled. We may keep an adult customer’s name, event location or address, email address, phone number, and booking history as reasonably needed to communicate about the visit, provide services, and maintain ordinary business, insurance, safety, and legal records. We do not keep information longer than reasonably necessary for those purposes. Child-specific visit notes should be removed when they are no longer needed.

Your choices

An adult who provided information may ask us to review, correct, or delete it. We may need to keep limited information when required for legitimate business, insurance, safety, or legal reasons.

Seasonal emails are optional. A customer may withdraw permission at any time by replying to an email or contacting us.

Security

We use reasonable care to protect the information we receive and limit it to what is needed. No email or internet service can promise perfect security, so please do not send payment-card information or other unnecessary sensitive information.
