Business Policies

Simple guidelines that help families, event hosts, Santa, and Mrs. Claus enjoy a safe and well-planned visit.

Last updated: August 24, 2026

The short version

  • A request does not reserve a date. A confirmed booking and 50% retainer do.
  • Cancellations made at least seven full days before the visit receive a full refund, including the retainer.
  • For cancellations made less than seven full days before the visit, the 50% retainer is nonrefundable.
  • The remaining balance is due immediately after the visit.

Booking and confirmation

Sending a booking request does not hold a date or time. Santa will confirm availability and share the complete price privately. A visit is reserved only after the event details are confirmed in writing and the 50% retainer is received.

The person making the booking must be at least 18 years old and authorized to make decisions for the home, organization, or event.

Retainer and final payment

A 50% retainer is required to reserve the confirmed date and time. The remaining balance is due immediately after the scheduled visit. The complete private quote will include all agreed visit details before the booking is confirmed.

Cancellations and rescheduling

If the customer cancels at least seven full calendar days before the scheduled start time, all payments will be refunded, including the retainer. If the customer cancels less than seven full calendar days before the visit, the 50% retainer is nonrefundable and the unpaid balance will not be charged.

We will try to move a visit to another available date when asked, but a replacement date cannot be guaranteed. Any approved change will be confirmed in writing.

If San Antonio Santa must cancel and a suitable replacement date cannot be agreed upon, all payments received for that visit will be refunded.

Weather, illness, and emergencies

Safety comes first. Severe weather, contagious illness, road conditions, or an emergency may require a time change, reschedule, or cancellation. Both sides should communicate as soon as possible and make a good-faith effort to find a reasonable solution.

Arrival, timing, and event access

The customer should provide an accurate address, a working contact number, clear arrival instructions, and reasonably close parking. Santa will make a reasonable effort to arrive on time and will communicate about an unexpected delay.

If the event is not ready at the confirmed start time, the visit may still need to end at the original finish time so later families are not kept waiting. Any request for extra time is subject to availability and must be agreed upon in writing.

Children and adult supervision

A responsible adult must remain present and supervise children throughout the appearance. Santa and Mrs. Claus provide entertainment and interaction; they do not provide childcare or take responsibility for supervising guests.

No child will be forced to sit with, touch, hug, or pose with Santa or Mrs. Claus. We welcome helpful accessibility or comfort information from an authorized adult so the visit can be patient and respectful.

Safe and respectful environment

The customer must provide a reasonably safe performance area and clear walking path. Pets should be secured unless their participation has been discussed beforehand. Guests must treat Santa, Mrs. Claus, the photographer, and other team members respectfully.

San Antonio Santa may pause or end an appearance if conditions become unsafe, threatening, unlawful, or seriously disruptive.

Gifts and special items

Customer-provided gifts should be hidden, securely packaged, and clearly labeled before Santa arrives. The transfer plan should be arranged in advance. Please do not ask Santa to carry unsafe, oversized, or prohibited items.

Photography and children’s images

Families and event hosts may take personal photographs during the appearance unless the venue has different rules. Professional photography and on-site prints may be available as an add-on.

San Antonio Santa will not knowingly publish a recognizable child’s photograph on its website, social media, advertising, or other public promotional material without written permission from the child’s parent or legal guardian. Permission to take a photograph is not automatically permission to use it in advertising.

For schools, daycares, community gatherings, and large events, the organizer must provide written confirmation of any valid photo permissions and a reliable way to identify children who may not be photographed or published. When permission is unclear, we will not publish a recognizable image of the child.

Privacy

Booking and visit information is handled according to our Privacy Notice. Please do not send unnecessary private information, payment-card numbers, or detailed medical records by email.
